Automating Real Estate Lead Management with Zapier and FUB

Problem

The team faced operational bottlenecks due to disconnected systems. Information for new properties, ad responses, and lead creation was housed in separate Airtable databases and a CRM. This manual process was not only time-consuming but also increased the risk of human error, leading to potential delays in following up with new leads and incorrect data being entered into the CRM.

Solution

The solution was to build a two-part automated workflow involving Zapier:
  1. Property Sync: When a new property is created in the initial Airtable database, a Zapier automation instantly creates a corresponding record in a secondary ad tracking database. This step transfers the unique Property ID and a specific "Follow-up Boss Action Plan ID".
  2. Instant Lead Creation: When a new Facebook ad response is logged, a second Zapier automation triggers. It instantly creates a new lead in the Follow-up Boss CRM and uses the previously synced ID to automatically assign the correct, predefined action plan to that lead.

Results

  • 100% Automation: The manual process of creating and updating records across multiple systems was completely eliminated.
  • Instant Lead Engagement: New leads are created in the CRM and assigned a follow-up plan in real-time, as soon as an ad response is recorded.
