Projects and tasks were synced within a multi-account Notion setup using Zapier: the updates in one workspace are reflected in others and vice versa.

Problem

Managing projects and tasks across three distinct Notion accounts presented a significant challenges:
  • No automatic data sync between accounts.
  • Manual, time-consuming, error-prone task handoffs, especially for reassignments between a "parent" and two "child" accounts.
  • Fragmented information, hindering a clear overview of project statuses.

Solution

An automation solution using Notion and Zapier was implemented.
  • Notion: Custom properties ("project name," "reassigned") and technical fields were created to guide sync logic.
  • Zapier:New Item Sync: After a brief delay for data entry, new eligible tasks were duplicated in other accounts, linking them with technical IDs.
  • Updated Item Sync: A flow identified if an update was on a "parent" (original) or "child" (synced) item. It then updated the corresponding item in the other account. If no link existed, a new corresponding item was created.
This ensured tasks were correctly categorized and reassignments managed effectively.

Results

The Notion and Zapier automation delivered:
  • Automated, near real-time task and project data sync across three different accounts.
  • Reduced manual effort and errors in data transfer.
  • A unified view of project progress and task ownership.
  • Seamless handling of task creations, updates, and reassignments.
